Use questions that reveal the operating model

Choosing a customer support outsourcing company is not only about rate cards and promises. The right questions reveal whether the supplier understands staffing, training, quality, escalation, language, security and scale.

These ten questions are designed to expose how the service will actually run after the sales conversation is over.

1. Will the team be dedicated or shared?

A dedicated team learns your account, systems, policies and customers. A shared team may be cheaper for simple low-volume work, but it is weaker when resolution, continuity and brand understanding matter. RHI's standard model is dedicated teams from five FTEs.

2. What is included in the price?

Ask whether the price includes agents, supervision, recruitment, training, quality assurance, reporting, workspace and management. RHI publishes starting pricing so buyers can begin with a real planning number.

3. Which channels can the team support?

Check whether the supplier can handle phone, live chat, email and tickets, WhatsApp and omnichannel support. More importantly, ask how cases move between those channels.

4. How are agents trained?

Training should cover product, process, systems, tone, data handling, escalation and what agents must not answer. A supplier that treats training as script reading will struggle with real customers.

5. How does quality assurance work?

Ask for the scorecard model, sampling plan, calibration process and coaching loop. RHI uses QA to identify agent, training and process issues, not merely to produce a score.

6. What language support is genuinely staffed?

7. Can the supplier scale?

Ask for real operating capacity. RHI has over 20 years of experience, more than 550 employees, 650 operational seats and a path to 1,500-seat scalability. That matters when a pilot becomes a larger support operation.

8. How are security and data protection handled?

Ask about access control, private file handling, audit logs, verification, retention and where data is processed. Read RHI security and data protection for the current published position.

9. How is AI used?

AI should assist agents, not replace judgement. RHI positions AI assistance around summaries, routing, drafting and knowledge surfacing while keeping humans responsible for tone, exceptions and decisions. See AI-assisted customer support.

10. What happens during the first month?

A credible supplier should propose a monitored pilot, weekly review, issue log and decisions about what to scale or fix. The first month should produce evidence, not just activity.
