Who we are
RH International Ltd. ("RHI", "we", "us") is the data controller for personal data collected through this website and through our recruitment process. We are a company registered in India, company number U72900DL2007PLC159452, and we are registered with the Information Commissioner's Office under reference ZB879055. Our registered office address and the privacy contact address are published on our contact page.
When we deliver customer support services to a client, we process that client's customer data on their instructions. In that relationship the client is the controller and we are the processor, and their privacy notice governs how that data is handled - not this one. This policy covers data we collect for our own purposes: website enquiries, recruitment and site analytics.
Website enquiries and forms
When you submit a form on this site - a callback request, a pilot request, the team builder, the coverage planner, the service explorer or a data rights request - we collect the details you provide. Depending on the form, that may include your name, company, job role, email address, telephone number, country, time zone, preferred contact window, and information about the service, channels, languages, team size, coverage, volumes and technology you are asking about, along with any message you write.
We also record technical information with the submission: the page you submitted from, the referring page, campaign parameters in the URL if present, your browser user agent, a truncated form of your IP address, and the version and timestamp of the consent you gave. The IP address is truncated rather than stored in full, because we need it for spam and abuse control and do not need to identify you by it.
Why we do this. We handle enquiries on the basis of our legitimate interest in responding to people who contact us about our services, and to protect our systems from automated abuse. Where you tick a box to receive follow-up about services you did not ask about, that is consent and you can withdraw it at any time.
Where you use an indicative planning tool, we use the information you enter to show the estimate, to understand the shape of the enquiry if you choose to submit it, and to improve how the tool works. We do not use those answers to make automated decisions about whether to work with you, what price you will receive, or whether a person should contact you. A human reviews any commercial enquiry before it becomes a proposal.
We do not sell or rent your details. We do not add enquiry contacts to unrelated marketing lists. This site does not operate competitions, sweepstakes or data-sharing arrangements of any kind.
Where enquiry data goes
Your submission is stored in our own database first. It is then, depending on configuration, copied to internal delivery channels so the right person sees it promptly:
- Google Sheets. Enquiry summaries may be written to a private Google Sheet used by our sales team for tracking. Google acts as our processor for that storage.
- WhatsApp notification. An internal notification may be sent to the responsible team. These notifications deliberately contain only a reference, name, company, market, service, team size and callback window plus a secure internal link - never a CV or sensitive detail.
- Email notification to the responsible team.
These are internal delivery routes, not third-party marketing. Our own database remains the authoritative record, which means a failure in any of these channels never loses your enquiry and never causes it to be submitted twice.
Recruitment and job applications
If you apply for a role we collect your name, contact details, city, experience, notice period, salary expectation, shift availability, any note you write, and your CV.
We use this to assess your application for the role you applied for, and - only where you agree - to consider you for similar future openings. We process it on the basis of taking steps to enter into an employment contract with you, and on consent for the future-openings part.
How your CV is stored. Your CV is held in private storage outside the publicly accessible part of this website, under a randomly generated filename, and can only be retrieved by an authorised member of our recruitment team through an access-controlled internal route. Every access is logged. It is not published, not indexed by search engines, not added to our media library, and not shared with clients without your explicit consent.
Candidate data is kept separate from commercial enquiry data, with separate access permissions, precisely so that routine handling of sales enquiries cannot expose applicant information.
Cookies, analytics and tracking
We use a small number of strictly necessary cookies to make the site work - maintaining your session and protecting forms against cross-site request forgery. These are set without consent because the site cannot function without them.
Everything else waits for your choice. Functional, analytics and advertising technologies do not load until you have given consent for that category. You can accept all, reject everything non-essential, or choose category by category, and you can change or withdraw your choice at any time. Full detail of each category and what it covers is in our cookie policy.
We record the fact of your consent - which categories, which policy version, and when - so we can demonstrate that non-essential technologies only ran with permission.
AI assistance
Where an AI assistant is available on this site, it is clearly identified as such and you will be told before you use it. If you choose to use it, your messages and the assistant's replies may be stored for a limited period so we can review answer quality and correct errors.
Please do not enter sensitive personal information into it. The assistant answers only from approved information about our own services, and it is designed to hand you to a person for anything requiring judgement. If you would rather not use it, every route it offers is available directly through our normal contact methods.
At the time of publication this feature is disabled. If that changes, this section will be updated before it is switched on.
Who we share data with
We use service providers who process personal data on our instructions and under contract: our website hosting provider, email delivery, Google (for the enquiry tracking sheet described above), and the WhatsApp Business platform for internal notifications. Where an AI assistant is enabled, an AI service provider processes the message content you send to it.
We do not sell personal data. We do not share your details with other companies for their own marketing. We may disclose data where we are legally required to, or to establish or defend legal claims.
Only the data needed for the particular service is shared. For example, an email delivery provider needs an email address and message content, but not your whole enquiry history; an internal WhatsApp notification is deliberately limited; and CV files stay in the recruitment storage route rather than being copied to commercial lead channels.
International transfers
We are based in India and our service providers operate internationally, so personal data you give us will be processed outside the United Kingdom and the European Economic Area. Where we transfer data from those regions we rely on appropriate safeguards, including standard contractual clauses with our providers. You can ask us for detail about the safeguards applying to a particular transfer.
How long we keep things
We keep enquiry records only as long as we need them to deal with your enquiry and for a reasonable period afterwards in case you come back to us. Job applications are retained for a defined period and then either deleted or anonymised - anonymising rather than deleting lets us keep hiring statistics without keeping anything that identifies you. Consent records are kept for as long as we need to demonstrate compliance. Where an AI assistant is enabled, conversation logs are purged on a defined retention schedule.
Retention periods are enforced automatically rather than manually. We will tell you the current period for any category on request.
Some records may need to be kept longer where they are required for accounting, dispute handling, fraud prevention, system security, or legal compliance. When that happens we restrict the record to that purpose rather than continuing to use it for ordinary sales or recruitment follow-up.
Security and access
We protect personal data with role-based access, separate storage for CVs, private file paths for sensitive uploads, form security tokens, spam controls, audit logging on administrative actions, and operational rules that limit who can see each category of record. These controls reduce risk; they do not remove it entirely. If we become aware of a personal data breach that requires notification, we will make the required notifications under the law that applies.
Your rights
You have the right to ask us for a copy of the personal data we hold about you, to have inaccurate data corrected, to have data deleted, to restrict or object to how we use it, to withdraw consent where we relied on it, and to receive data you gave us in a portable form. Where local law gives you additional rights - including under the UK GDPR and India's Digital Personal Data Protection Act 2023 - those apply too.
Use our data rights request form, or write to the privacy address on our contact page. We will respond within the time limit the law allows, and we will not charge you or make it difficult. We may need to verify your identity first, which protects you rather than us.
Complaints
If you are unhappy with how we have handled your personal data, please tell us first - most issues are resolved quickly once someone looks at them properly. If you remain dissatisfied you can complain to a data protection regulator. In the United Kingdom that is the Information Commissioner's Office; in India, the authority established under the Digital Personal Data Protection Act 2023. You do not have to come to us first, but it usually gets a faster result.
Changes to this policy
If we change how we handle personal data we will update this page and revise the version recorded with consent choices. Where a change materially affects you, we will do more than quietly amend the page.
